Existing Building Book

What it is and why it is necessary

The Existing Building Book is a mandatory technical document that contains all relevant information about the state of a property, its construction characteristics and its facilities. This book is used to monitor the building throughout its useful life and is essential to facilitate the management and planning of future interventions, as well as to comply with current regulations related to the conservation and rehabilitation of buildings.

Contents of the Existing Building Book

The Existing Building Book includes a series of technical data and essential documentation on the property:

  • Construction features: Detailed information about the structure of the building, the materials used in its construction, the general installations (electrical, plumbing, gas) and other relevant aspects.
  • Facilities data: Description and plans of the building’s installations (heating, electricity, plumbing, gas, etc.), including their condition and maintenance.
  • Maintenance and upkeep: Record of the interventions carried out on the building over time, such as renovations, repairs, rehabilitation or any other work related to the maintenance of the property.
  • Applicable regulations: List of local, regional and national regulations that affect the building, such as urban planning, accessibility or energy efficiency regulations.
  • Maintenance plan: Strategies and recommendations for the maintenance of the building, which include both preventive tasks and necessary repairs throughout its useful life.

When is it necessary to complete the Existing Building Book?

The Existing Building Book is required in the following cases:

  • Rehabilitation or intervention in existing buildings: It is necessary to prepare the book when rehabilitation or renovation work is carried out on a property, as it provides the information necessary to properly plan and coordinate the interventions.
  • Requirements to access aid and subsidies: In many cases, the preparation of the book is a requirement to access subsidies or aid aimed at improving accessibility, energy efficiency or the conservation of buildings.
  • Buildings subject to Technical Building Inspection (ITE): If a property has passed a technical inspection, the Existing Building Book may be required as part of the administrative procedures.
  • Building registration: The book is useful for the identification and formal registration of the state and characteristics of the property, which facilitates management and maintenance throughout its useful life.

Benefits of having an Existing Building Book

  • Improves maintenance management: Having a complete record of the work carried out on the building and an updated maintenance plan makes it easier to manage future repairs and actions.
  • Regulatory compliance: It ensures that the building complies with current regulations regarding safety, accessibility and energy efficiency, which can avoid sanctions or legal problems.
  • Property valuation: It facilitates the appraisal and valuation of the property, as it provides a detailed and updated view of the building’s conditions.
  • Facilitation of administrative procedures: The Existing Building Book is useful in various administrative procedures, such as obtaining licenses or permits, and in requesting aid and subsidies for the rehabilitation or improvement of the building.
  • Risk prevention: The collection of information on the state of the building and the facilities allows anticipating possible problems, minimizing the risk of structural damage or failures in the facilities.

Preparation of the Existing Building Book

The process of preparing the Existing Building Book includes the following steps:

  • Inspection and data collection: A specialized technician carries out a detailed inspection of the building, gathering all the information about the construction features, the installations and the previous work carried out.
  • Analysis of existing documentation: The plans, previous projects and any other available documentation are reviewed to complete the information on the property.
  • Reporting: With all the information collected, the technician writes the Existing Building Book, which includes details about the state of the building, the work carried out and maintenance recommendations.
  • Updating and monitoring: The book must be updated periodically to reflect any future interventions in the building and to ensure that the information is always up to date.
